How the Rules Work in Snoooz?

Learn how to set up, order, and test rules in Snoooz to automate email replies, forwarding, and categorization.

Rules are an important feature of Snoooz as they allow you to control how to handle incoming emails, including whether to send an auto-reply, draft a response, forward the email, categorize the email, or simply ignore it.

Rule Order & Execution

  • Rules are processed from top to bottom.

  • The first matching rule will be actioned, and the email will be processed accordingly.

  • You can drag and reorder rules by clicking and holding them.

Each rule consists of 3 parts

🧩 Use Cases

Scenario 1 — After Hours Reply:

  • Condition: After 6 PM or outside working hours

  • Action: Send template reply: “Thanks for reaching out! We’ll respond tomorrow.”

Scenario 2 — Sales Inquiry:

  • Condition: Email subject contains “pricing”

  • Action: AI draft reply + assign to Sales folder

Practical Example

Let's setup a few rules based on calendar availability.

  1. After Hours: Send an automatic reply using an after-hours template.

  2. Out of Office: Send an out-of-office reply.

  3. In a Meeting: Send a response if your calendar shows you’re busy.

  4. Available: Let Snoooz draft a response for you to review and send.

Setting Up Your Working Hours & Calendar

Before creating these rules, ensure you:

  1. After Hours Template:

    Dear @Sender, 

    You have reached me outside of my regular working hours. I will be back at @NextAvailableTime.

    If you need urgent assistance, please contact our support team by emailing them at [email protected]

    Regards,

    @NextAvailableTime is calculated based on your calendar and working hours.

  2. Out of Office Template:

    Dear @Sender, 

    I am currently out of the office and will return on @NextAvailableTime.

    Please contact @BackupName at @BackupEmail in my absence. If you need urgent assistance, please contact our support team by emailing them at [email protected]

    Snoooz detects out-of-office status from your calendar or if you enabled Snoooz for "Specific dates" instead of "All the time".

  3. Busy in Meetings Template:

    Hey @Sender, 

    Thanks for reaching out. I am currently tied up in back-to-back meetings and will get free around @NextAvailableTime.

    If you need urgent assistance, kindly contact [colleague name] at [colleague email] or loop in our support team by emailing them at [email protected]

Creating Rules in Snoooz

For each case, set up a corresponding rule:

  1. Out of Office Rule:

    • Condition: Calendar Status = Out of Office

    • Action: Send an email response

    • Select the Out of Office Template

  2. After Hours Rule:

    • Condition: Calendar Status = Outside Office Hours

    • Action: Send an email response

    • Select the After Hours Template

  3. Busy in Meetings Rule:

    • Condition: Calendar Status = In a Meeting

    • Action: Send an email response

    • Select the Busy in Meetings Template

  4. Available Rule:

    • Condition: Calendar Status = Available

    • Action: Draft an AI-generated response for review

    • Select the Use AI option

To ensure relevant AI responses, you can also train the AI by uploading FAQs, sales materials, and/or website content in the Data Sources section.

By properly setting up rules and training the AI, Snoooz will intelligently manage your inbox and provide timely, context-aware responses.

Enter email sender, subject, or body (optional)
Snoooz will show the drafted reply and matching rule
